ASSISTANT HUMAN RESOURCE
To report to Executive/Manager/HOD
Job vacancy
- To make sure all manpower requirement attach with manpower request form with approval.
- To post/advertise all job vacancy based on approved manpower request.
- To select candidate to go for 1st interview.
- To interview operator level/clerk.
- To involve in negotiation for report duty staff.
- To decide salary for operator level for approval in salary proposal.
- To conduct orientation for new intake.
- To make sure all document related send to payroll for registration.
- To make sure new staff receive uniform
Transfer/Promote/Redesign
- To make sure request form fill in and forward to asst manager/manager to bring into meeting for approval.
- To prepare salary proposal and employee status form.
- To prepare letter based on approved proposal include new job description and on the job (OJT) form.
Uniform
- To issue Purchase order based on stock of uniform and requirement.
- To make sure uniforms distribute to all branches and staff.
Training
- To establish Internal and external training plan based on requirement Training Needs Analysis form.
- To continuosly follow up trainer to conduct the training.
- To make sure trainer fill up training form to extend/delay training if training not conducted within the month.
- To issue training request form for any external training requested.
- To apply for claim on HRDF for external training.
- To claim the cost of training after training paid and done.
- To help in search for training suitable based on requirement.
- To help monitor training evaluation conducted by trainer after 1 month training is conducted.
- To make sure in-house training conducted in good condition.
- Help in liase with external training provider for any document/information.
- To prepare agreement for specific training required by the management and make sure agreement pass to trainee before training conducted.
Issuance of letter & memo / report
- To help in issue of numerous letter and memo and make sure all distributed.
- Diciplinary letter.
- Domestic Inquiry memo and action letter.
- Counselling letter - to conduct and issue counselling letter.
- To draft official letter regards to any issue in HR for approval.
- To help do weekly report to submit to HOD to be present in weekly meeting.
- To update organization and manpower status weekly
To prepare Management Review Meeting (MRM) report every 3 months to present to the management with action taken on KPI not achieve.
To in charge and liase with education instituition for any educational visit and to make sure all preparation done.
Events/Activity/Meetings
- To propose budget for refreshment (MRM, Break Fasting, Annual Dinner) for approval by MD.
- To help in preparation for the event/meetings.
- To help in execute all other human resource activity.
Human Relations
- To attend to staff welfare problem/activity.
- To help manager to find solution for the problem.
- To highlight the staff issue to the management.
- To propose to management choice for Best employee yearly, monthly, best shift, best attendance and other award.
Industrial Relation and Discipline.
- To give counselling to staff for level clerk and below.
- To plan for Domestic Inquiry case court when needed.
- To study or conduct investigation if needed.
- To prepare accusition paper for case related.
- To issue memo DI to panels and defendant.
- To become prosecutor for the case.
- To prepare DI report once case conducted.
- To make sure action letter issued.
To involve in all activity plan by human resource department
- Yearly performance appraisal.
- Employee satisfactory survey.
- Annual event ( Dinner, Fasting Month, Hari Raya Celebration and etc).
- Competency skill test and skill chart (every 6 months).
- To involve in Customer and supplier audit ( when needed) and to make sure all document related updated.
Document preparation
- To check overtime request and claim by all department according to procedure.
- To check for leave application and advise based on the situation.
- To check travelling claim before submit to payroll.
- To check list of summary absenteeism, yellow card & gold card before issuing.
Staff Confirmation
- To issue list of confirmation staff based on date hire.
- To issue performance appraisal to HOD before meeting.
- To prepare personal file for interview (if any).
- To prepare staff for confirmation interview if necessary.
To monitor staff attendance at all department and info to Admin and HOD if any updates
Foreign Worker
- To help in preparing document for Foreign workers renewal permit, fomema, new application, interview and etc.
- To help in liase with Foreign Worker agent on any matters related.
- To make sure hostel inspection conducted (FW & local).
- To make sure hostel in good condition and equip with proper accomodation items and facilities (FW & local).
- To make sure all passport kept in safe place.
- To make sure staff health and medical concern ( critical case) under monitoring.
- To liase with Admin on flight ticket arrangement for foreign workers to go back hometown before contract end/after contract end.
- To issue memo to HOP/HOD list foreign workers to send back, cut off date working and salary.
- To update Admin on latest list of foreign workers.
- To liase with any government agencies/corporate for any issue arise such report case of missing/run to police and embassy.
- To take staff to the bank for any issue on card problem/pin number/other issue.
- To highlight to the management for any issue arise.
- To take staff to go to fomema check up at appointed clinic within specific time for renewal.
- To report to local authorities for new intake of foreign worker (Jabatan Tenaga Kerja).
-To update headcount board weekly and monthly basis- To update bulletin board and information board on current news/information-To post new latest memo and HR activity at bulletin board for all staff information-To make sure all HR forms are available to be use

-To attend customer audit and any other audit set by QMS department and making sure all document related updated
-To follow and apply all instruction and work method set in TS16949 Manual.

Salary: RM1,800.00 - RM2,200.00 per month
